1. Who we are
This policy is issued by IcyBay Industries Inc Limited (“IcyBay”, “we”, “us”). We operate a digital cross-border logistics platform for Southeast Africa, including:
- the public website at www.icybay.net
- the web platform at tms.icybay.net
- the Shipper / Transporter app
- the Driver app

2. Who this policy covers
It applies to anyone who uses our website, platform, or apps, including:
- Shippers — companies that post or manage cargo
- Transporters — fleet companies that accept and haul loads
- Drivers — people assigned to a vehicle and a trip
- Website visitors — people who browse icybay.net without an account
3. Information we collect
We only collect what we need to run logistics, payments, support, and legal compliance.
Account and company details
Name, company name, registration number where provided, contact person, email, phone number, physical address, and login credentials.
Driver and vehicle details
Driver name, licence details, phone number, vehicle registration, truck type, and capacity. Transporters are responsible for keeping this information accurate.
Trip and operations data
Load details, pickup and delivery points, waybills, proof of delivery (POD), photos or documents uploaded for a job, delivery confirmations, and settlement records.
Location during an active trip
If you use the Driver app on an assigned job, we may collect GPS position only while that trip is active. This lets the shipper and operations team see where the cargo is. We do not use trip GPS for advertising.
Device and support data
App version, device model, operating system, and crash or error logs. We use these to fix faults and keep the apps stable.
Messages you send us
Emails, WhatsApp messages, and in-app support requests, including any documents you attach.
4. How we use information
We use your information to:
- create and manage accounts
- match loads with suitable vehicles and drivers
- track shipments while a trip is in progress
- collect POD and other delivery documents
- calculate and process settlement
- send operational notices (job updates, OTP, password resets)
- detect fraud, abuse, or safety issues
- meet tax, customs, audit, and dispute-resolution duties
- improve the reliability of the website and apps
We do not sell your personal information. We do not share commercial data with competitors or marketing lists.
5. When we share information
We share only what is needed for the job:
- Shippers may see driver or vehicle details and live position for an active load they booked
- Transporters may see job details assigned to their fleet
- Payment and banking partners receive settlement details required to pay you or collect fees
- IT and hosting providers who process data for us under contract
- Authorities when the law requires it, or to protect people, cargo, or the platform
6. How long we keep information
Account profile data is kept while the account is open. After you close an account or ask us to delete personal data, we remove what we no longer need.
Trip, waybill, POD, invoice, and settlement records may be kept for as long as tax, customs, finance, insurance, or dispute rules require. When we can, we anonymise leftover operational records so they no longer identify you.
Device logs used only for support are kept for a shorter period, then deleted.
7. Your choices
You can ask us to:
- send a copy of the personal data we hold about you
- correct inaccurate details
- delete personal data that is not legally required — see Data Deletion
- close your account — see Account Deletion
We will need to confirm that you own the account before we act.
8. Security
We use access controls, encrypted connections where the platform supports them, and restricted staff access. No online service is completely secure. Please keep your password private and tell us quickly if you think an account has been misused.
9. Children
IcyBay is a business logistics service. It is not directed at children under 18, and we do not knowingly collect their personal information.
10. Changes to this policy
If we change this policy in a material way, we will update this page and the “Last updated” date. Continued use of the service after the update means you accept the revised policy.
